Hotel Poacher and Pirate Alert

If you receive solicitations from any other vendors identifying themselves as “the official American Chiropractic Association housing representative or partner”, they are NOT authorized to sell guest rooms for the event. Please contact ACA Headquarters immediately.

How Hotel Poaching Scams Work
Most poaching agencies do not have a contract with any hotels for room blocks. They will contact a housing wholesaler, such as Expedia, Priceline, etc. to see if rooms are available that they can mark up and sell to unsuspecting guests.

Hotel poachers will claim to be an American Chiropractic Association “partner” or the “official housing company” and will sometimes ask that your room be paid in full, up front. Room poachers often don’t deliver on promises to attendees. When guests arrive, the reservations are often non-existent or the hotels are far from the event location. Sometimes, hefty cancellation charges are billed to your credit card. Poachers often represent themselves as being affiliated with the expo or conference by illegally using trademarked logos.

Only American Chiropractic Association registered attendees can book within the conference’s room block.

How to Avoid Hotel Poachers
Years before every annual conference, we negotiate contracts with hotels that include clauses to protect our attendees should any issues arise with reservations.

  • ACA is the only authorized resource that provides attendees hotel reservation information for conference hotels
  • Trust your instincts and the old adage: If it sounds too good to be true then it probably is
  • If you receive an unsolicited call or email from any company that is not the American Chiropractic Association, please obtain the name of the company and contact ACA Headquarters  immediately

Please note: If a room is booked outside of the official ACA conference room block, we are unable to help. If you are unsure whether something is legitimate, please contact ACA Headquarters before providing your personal, company or credit card information.

Conference Policies

Refund/Cancellation Policy

Registration, cancellation and refund requests must be submitted in writing to  ACA by December 1, 2025, to be eligible for a refund and are subject to a $100 cancellation fee. Requests received after this date will not be accepted. Refunds will be processed after the close of the conference. Please allow up to six (6) weeks to be issued.

Inclement Weather Policy

ACA conferences will be cancelled due to inclement weather or any other occurrence beyond the parties’ control (including, but not limited to, flood, fire or natural disaster) only if the venue and/or location of the event is closed or provides notice to ACA of its inability to hold the event, or if a local government-declared emergency status is in effect for the location of the event. If an ACA conference is cancelled due to inclement weather or other occurrence beyond the parties’ control as set forth herein, every attempt will be made to reschedule the event and your registration fee will be applied to the rescheduled event date. Any travel expenses that may have been incurred cannot be refunded under any circumstances. If the ACA event is held but weather conditions (whether forecasted or actualized) prohibit you from traveling, ACA cannot refund your registration fee.

Conference Admission

Registrants must wear their conference credentials at all times to ensure admission to all conference activities.

Changes to Conference Program

ACA reserves the right to change or modify the program based on space, speaker schedule or other circumstances. Please refer to the conference app or website for the latest schedule and information.

Special Requirements

ACA is committed to making the conference accessible to all individuals. Participants with special needs or food restrictions should contact ACA headquarters no later than December 5, 2025. Special hotel room accommodations should be handled directly with the hotel.
